Faculty & Staff Guide to Hiring a Co-op at Wentworth

How to Hire a Wentworth Student for a Wentworth Co-op

PART 1: Prepare the Co-op Role

1. Write a detailed job description

  • Include job responsibilities, required skills, preferred qualifications, term dates, hours, and whether the role is paid or unpaid.

2. Obtain Approval

  • Seek approval from your unit lead. Once approved, you are ready to post the role in WITworks

PART 2: Post the Co-op Role in WITworks

3. Log In as an Employer

  • Log in to WITworks as an employer.
  • If you don’t already have access to WITworks, create a profile for yourself under the existing Wentworth employer account.  DO NOT create a new employer profile.
  • When prompted, Type Wentworth Institute of Technology as the name of the employer.  Abbey Pober’s name will appear as the lead contact.

4. Post the Position.

  • Select the “Jobs” tab on the left hand menu to create your job posting.
  • Ensure the position is posted only to Wentworth students.

5. Resume Collection Recommendation

We strongly encourage selecting the option to have resumes sent directly to your email.

  • If you select “resume book only”, you will receive all resumes at once when the job expires – which is typically too late to complete interviews and hiring.
  • Direct resume delivery allows you to review and schedule interviews on a rolling basis.

Submit your posting once complete.

PART 3: Review & Interview Candidates

6. Create a Candidate Evaluation Rubric

Develop a rubric based on the job description to support equitable and consistent hiring practices.

7. Review Applications

Use your rubric to determine which candidates to invite to an interview.

8. Schedule Interviews

Once you have determined which candidates are of interest, contact them directly and schedule an interview.

PART 4: Make the Offer

9. Extend the Offer

Once you have selected your final candidate, extend the offer directly to the student.

After the offer is accepted:

  • Notify other interviewed candidates as soon as possible so they may continue their co-op searches

PART 5: Complete Hiring Paperwork

10. Student Reports their Co-op Hire (Required)

The student must complete a Report of Hire form on WITworks after accepting the offer. Please remind them to do this step.

Once submitted:

  • You and the student’s Co-op Advisor will receive an email with a link to review the report of hire.
  • You can approve it or reject it with comments.

If the role is PAID:

  • After a student reports their hire in WITworks, students working in a paid co-op role must be hired into Workday for payroll purposes.
  • Follow the Workday job aid for hiring paid co-op students.

IF the role is UNPAID:

  • Students working in an unpaid co-op role are not subsequently hired in Workday. For questions, please contact Co-ops & Careers at coopsandcareers@wit.edu.

PART 6: Supervision & Evaluation

Supervisor Seminar

All Wentworth co-op supervisors are invited to attend a seminar covering best practices for supporting a successful co-op experience. Details will be emailed to all Wentworth co-op supervisors each term.

Final Evaluation (Required)

Approximately four weeks before the end of the co-op term, you or the supervisor will receive a link to complete a student evaluation.  This evaluation is required in order for the student to receive a final grade for their co-op.

If you have any questions at any stage of the process, please contact Co-ops & Careers for support.
