In this role you will work with senior management to align space planning solutions with the company’s strategic goals. You will partner with business leaders and internal customers to understand and address all area and department space requirements. As part of your role you will create and maintain space related documentation, including occupancy reports and forecasts, project budgets and timelines across regions. You will develop and implement documentation, standards and procedures to support the strategic goals of the Global Real Estate Group. You will be responsible for the planning process by preparing key planning and space metrics. This position requires a high level of analytic skills with experience creating complex models to forecast space supply and demand globally.
Strategic Space Planning
Manage space planning tools for collecting data, tracking occupancy and hiring forecasts to proactively forecast need and efficiently manage space utilization. Report occupancy statistics/performance by site and manage strategies for short- and long-term workspace solutions.
Integrate with existing established systems (Finance and HR) to gain knowledge of hiring forecasts and adjust space planning needs accordingly.
Develop and maintain master space utilization plans; forecast growth requirements at all sites to meet business and operational needs for multiple years
Interface with MathWorks Senior Leadership to align space planning solutions with company’s strategic initiatives through stakeholder interviews and planning meetings. Provide reports and presentations to Senior Leadership as needed.
Understands business area alignment and relate to long term space planning
Space Blocking and Stacking, and Move Management
Direct seating assignment and move management strategies worldwide.
Work with, and coordinate seamlessly with Facilities and Construction, Office Services, System Services (IT, Audio Visual and Security) to ensure all people moves are planned for, managed and carried out seamlessly and effectively
Compile and maintain space allocation statistics for occupancy calculations, as well as BOMA space use for all locations within MathWorks’s Real Estate portfolio
Generate and maintain documentation including building specific space plans, department boundaries and square footage allocations
Maintain programmatic space type standards
Develop methods for consistent sharing of space planning and cultural space improvements with MathWorks leadership and staff including curating MathWorks’s online communication tools
Project Planning and Management
Develop space plan scenarios and related project budgets and provide input to capital project budgets
Provide support in a Space Planning capacity to capital projects through all stages; planning, design, through execution, and beneficial use.
Maintain documentation for all workplace records and plans, primarily within Procore and CAFM system.
Build quarterly space reports for review with senior management
A bachelor's degree and 7 years of professional work experience is required.
Bachelor's Degree in Facilities Management, Architecture or Design, Construction/ Project Management or related field preferred
Knowledge of space utilization and facilities management. Ability to analyze and determine space utilization needs and projections
5+ years of Space Planning, Facility Project Management, Facilities Management experience or related experience
Excellent communication skills and ability to prepare and perform presentations to executives and internal customers are required
Proven ability to work in a fast paced; ever evolving company environment with good humor and grace
Experience leading large move projects
Enthusiasm for being both an individual contributor as well as part of a high energy team is essential
Ability to partner with departmental team members (both internal and consultants/contractors)
Experience with Microsoft Office suite of products including Excel, PowerPoint, and Planner
Knowledge of AutoCAD/Revit experience a plus
CAFM experience required
