About LRID & the Role
Lauren Roman Interior Design is a high-touch residential interior design firm known for thoughtful design, exceptional service, meticulous attention to detail, and strong client advocacy. We are seeking a highly organized, proactive, trustworthy, and technically fluent Studio Operations Coordinator to help keep projects, information, procurement, and studio operations moving smoothly behind the scenes. This is not a design position; it is the operational backbone of a small creative studio.
You will work closely with the Principal Designer, turning meeting notes, documents, decisions, and verbal direction into organized files, accurate project updates, calendar actions, procurement follow-through, and completed next steps. The right person can collaborate closely when needed, then continue making sound progress independently when Lauren is in meetings, traveling, or focused on design.
What We’re Looking For
- Several years of relevant professional experience in operations, project coordination, executive/administrative support, procurement or purchasing, bookkeeping support, AEC/construction, or another detail-intensive professional-services environment. A bachelor’s degree or equivalent professional experience is preferred.
- Exceptional operational organization: you capture written and verbal information accurately, prioritize what matters, create a reliable plan, and keep working until the loop is closed.
- Strong judgment and self-direction: you know what needs attention now, what can wait, what requires approval, and what you can research or resolve independently without getting stuck on one detail.
- Demonstrated technical learning agility. You are comfortable learning unfamiliar business software, using official resources, testing what you learn, and troubleshooting routine issues before escalating them.
- Strong listening, comprehension, and synthesis: you can turn meetings, emails, documents, and verbal updates into concise takeaways, action items, and accurate working records—not simply transcribe information.
- Ownership and follow-through: you focus on the intended outcome and confirm that work has actually been filed, shared, scheduled, communicated, or completed before considering it done.
- Comfort with numbers, spreadsheets, purchase orders, invoices, expenses, databases, and detail-sensitive data entry, along with polished communication, discretion, reliability, and a service-oriented mindset.
Key Responsibilities
- Manage incoming project information: download and properly name meeting minutes, drawings, attachments, and other documents; file them in the correct Dropbox locations; and keep key information from living only in email.
- Translate project updates into the right systems—primarily Smartsheet, Studio Designer, project reference documents, and calendars—so deadlines, decisions, priorities, and next steps stay current and visible.
- Maintain Smartsheet project flow, schedules, specification workbooks, reports, task visibility, and related project-status information.
- Support procurement from start to finish in Studio Designer: project/item setup, budgets, proposals, purchase orders, vendor communication, acknowledgements, lead times, changes, backorders, deliveries, damages, and open issues.
- Support recurring studio administration and, over time, financial administration such as expenses, receipts, AP/AR support, invoicing, timesheets, records, and reporting as responsibilities transition from current support staff.
- Maintain organized account information, contacts, files, and recurring processes, and help document/refine workflows as you become familiar with the business.
Training, Growth & Interview Process
Onboarding will be structured around clear priorities and milestones rather than learning every system at once. This is intended to be a meaningful, long-term role with room to grow into greater operational ownership and, for the right person, operations management. Final candidates may be asked to complete a brief planning exercise based on a realistic training brief—no LRID software access or interior-design knowledge required—to show how they prioritize, estimate time, learn new systems, handle blockers, and organize their work.
To Apply
Please submit your résumé and a brief cover note explaining why this role interests you. In your note, please tell us: (1) about a business system or software you had to learn independently and how you approached it; and (2) how you organize competing priorities so assigned work does not get lost in the shuffle.
