The Assistant Project Manager (APM) supports the successful delivery of construction projects by coordinating daily project operations, managing documentation, and facilitating communication between project stakeholders. Reporting to the Project Manager and Group Manager, the APM plays a critical role in ensuring that each project runs smoothly, stays on schedule, and meets client expectations.
Responsibilities
Project Coordination & Meetings
- Partner with Project Managers to set priorities, align information flow, and maintain momentum.
- Attend project, subcontractor, client, and internal team meetings.
- Record, distribute, and track action items from meeting minutes.
- Support monthly Project Status Reports and help prepare presentation materials.
Document Control & Schedule Management
- Manage and distribute project documentation, including RFIs, submittals, and bulletins through Procore.
- Maintain accurate RFI and submittal logs; draft RFIs for review.
- Track drawing and specification updates; confirm alignment with contract scope.
- Maintain the material tracking log, ensuring dates tie back to the master schedule.
- Review document changes for scope, schedule, or cost implications and flag issues proactively.
- Assist in developing and updating project schedules and coordination milestones.
Submittals & Trade Partner Coordination
- Review and process submittals for completeness and accuracy.
- Coordinate with design teams, internal resources (such as Coordination Department, General Super, etc.), and trade partners to resolve technical issues.
- Support trade coordination efforts to ensure alignment of systems and early identification of conflicts.
- Distribute approved submittals and ensure that long-lead items are tracked and escalated as needed.
- Create and track change events for design changes made during the submittal process
Procurement & Purchasing Support
- Assist in preparing bid packages, compiling bid tabs, and evaluating subcontractor proposals.
- Draft Rider A (scope of work) and subcontract exhibits under PM oversight.
- Generate purchase orders for mobilization items and lighter scopes.
- Participate in company purchasing meetings during buyout phases.
- Support preconstruction activities and early pricing exercises as assigned.
Financial Management, Change Management & Compliance
- Assist with subcontractor billing, requisition tracking, and monthly financial workflows.
- Issue RFQs for design changes and track subcontractor responses.
- Review and validate subcontractor pricing with the support of estimating team or PM.
- Maintain up to date Change Event and PCO logs in financial systems.
- Support preparation of owner change order documentation.
- Assist project admin with gathering certificates of insurance and monitoring subcontractor compliance.
Quality, Safety & Risk Management
- Partner with PMs and Supers to support QA/QC documentation, audits, and follow-up action items.
- Attend safety meetings and help track subcontractor safety documentation.
- Support jobsite-specific safety plan compliance.
- Gain exposure to risk management discussions and maintain awareness of project risks.
- Gather all required samples and turnover approved samples to the Superintendent.
- Support mock-up requirements as directed by PM
Project Startup & Closeout
- Assist with project startup tasks, including PO issuance, safety coordination, and kickoff meeting prep.
- Manage the closeout tracking system and follow up with subcontractors on required documentation.
- Assemble closeout manuals and electronic closeout packages for final review.
- Participate in punch list coordination and follow-through.
- Assist PM with financial closeout of the project
