Role:
In this position you will proactively support project managers with all correspondence, project schedules, contracts, and orders. The assistant will provide support with submittals, contract status, contract closeouts, checking orders, managing open items lists, purchase orders and project completion reports. In this position you will communicate with clients, general contractors and other departments on a regular basis.
Duties & Responsibilities:
- Maintaining project documentation, reports, contract schedules & status
- Assist financial management of projects, preparing, processing and submitting Change Orders, Time & Materials Ticket, Subcontract & Supplier invoices
- Responsible for managing document control, logging and distribution of the following: Submittals, RFIs, Transmittals, Shop Drawings
- Help update internal spreadsheets, databases and tracking logs
- Provide general office support such as filing, scanning and preparing mailings
- Handle administrative duties such as data entry and correspondence
- Support project managers & estimators with the daily flow of information
- Ensure proper project closeout documentation is requested / completed.
